Terms of Service

1. Who we are
These terms are an agreement between you and Woodedlawn LLC, doing business as Exhibition Services (“we,” “us”). We operate this ordering platform and are the merchant of record for orders placed here: your order is placed with, billed by, and refunded by us. The booth network services you order — such as shared and dedicated internet connections, Wi-Fi networks, and related equipment — are installed and operated at the event by the event’s designated network services provider (the “Service Provider,” typically the event producer or its contractor), with whom we coordinate your order.
2. Ordering
Each participating event has its own ordering page with its own catalog, pricing, and deadlines. By placing an order you confirm that the booth and contact details you provide are accurate and that you are authorized to order services for that booth. An account is created with the email address you provide at checkout; sign-in is by one-time email link.
3. Payment
You can pay by card at checkout, or request an invoice. Card payments are processed by Stripe and charged when you complete checkout. Invoices are issued through Stripe and are due by the earlier of 30 days from issue or the event’s order-change cutoff date shown on the event page.
Services are provisioned only after payment in full. An unpaid invoice at the time of installation means the associated services are not delivered until payment clears.
Listed prices include payment processing. Taxes, where applicable, are shown at checkout for the event.
4. Changes and the cutoff date
Each event has an order-change cutoff date, shown on the event page and in your order confirmation. Before the cutoff you can request changes to a confirmed order at no charge; price differences are charged or refunded to your original payment method. After the cutoff, changes are handled by the on-site service desk and may incur additional fees. Where disclosed at checkout, an approved post-cutoff change may be charged to your card on file.
5. Cancellations and refunds
Refunds are governed by the cancellation policy of the specific event, which is displayed at checkout before you accept these terms and included with your order. Unless that policy says otherwise: orders cancelled before the event’s cutoff date receive a full refund; after the cutoff, cancellations are handled by the service desk and may incur fees.
Refunds are issued to the original payment method. Amounts paid outside the platform (for example, by bank transfer against an invoice) are refunded manually through the same channel. Where an order is reduced rather than cancelled, the difference is refunded as a partial refund.
6. Event cancellation and postponement
If an event is cancelled and your services have not been provisioned, we will refund amounts you paid for services not delivered. If an event is postponed, your order carries over to the new dates unless you cancel under the event’s cancellation policy. We are not responsible for other costs you incur in connection with an event’s cancellation, postponement, or curtailment.
7. Service dependencies
Services are installed and operated by the Service Provider over venue infrastructure and are available during the event’s scheduled hours. Shared-bandwidth services are shared with other exhibitors and carry no dedicated bandwidth guarantee; dedicated services provide the capacity stated in their listing. The Service Provider may take reasonable measures to protect the show network, including limiting devices or traffic that interfere with other exhibitors’ services.
8. Liability
We do not install or operate the show network. Our total aggregate liability arising out of or related to an order is limited to the amounts you paid for the affected services, and your remedy for services not delivered as described is a refund under section 5. We are not liable for indirect or consequential losses — including lost profits, lost business opportunities, or lost data — nor for failures or delays caused by circumstances beyond our reasonable control, including venue power or infrastructure failures, the Service Provider’s installation or operation of the network, and decisions of the event organizer or venue.
9. Acceptable use
You may not use the services for unlawful activity, to interfere with the operation of the show network, or to resell connectivity outside your booth without our written agreement.
10. Governing law
These terms are governed by the laws of the State of California. Disputes will be resolved in the state or federal courts located in California.
11. Changes to these terms
We may update these terms; the current version is always posted here with its effective date. An order is governed by the version you accepted at checkout.
